Call backs: when the receptionist can't book

No open time, a price it doesn't have, or the caller wants a person: the receptionist takes a message and texts you.

Updated September 30, 2026

Sometimes the receptionist can't book the appointment: there's no open time soon enough, online booking is paused, the caller wants a price it doesn't have, or they ask for a person. It takes a message instead: their name, number, the vehicle and what they need. For an urgent call you can't fit in soon, the message is how you arrange a tow.

When the call ends you get a text with the message and a link, and a notice in BayRobin. The message also shows under Jobs › Call back, with a Listen to the call link.

Work the list

  • Make a job turns the message into a job with no time yet, ready to schedule on the board.
  • Done takes it off the list once you've called them back.

Customers who reply R to an appointment reminder show up here too, marked Wants to reschedule, with a link to their job.
