Frequently asked
Do callers know they're talking to an AI?
The receptionist answers as your shop's virtual receptionist and never claims to be a person. If a caller asks whether it's an AI, it says yes. Callers who want a person can ask for one, and it will take a message or pass the call to you, depending on how you set it up.
Are calls recorded?
Yes. Calls are recorded and transcribed so you can see exactly what was said about each car. Some states require everyone on a call to agree to recording, so the receptionist can play a short notice such as "this call may be recorded" at the start of every call. You're responsible for making sure your greeting meets the rules where you and your customers are. See our Privacy Policy and Terms.
What happens with urgent calls?
The receptionist treats a car that won't start, brakes that are failing, an engine that's overheating, or anything the caller says is unsafe to drive as urgent. It offers the earliest open time, or passes the call to whoever is on call if you set up transfers. It never tells the caller what's wrong with the car: it says a technician will inspect it and call before doing any work. Either way you get a text when the call ends.
Can I keep my phone number?
Yes. Most shops set their phone to forward calls they don't answer (or all calls after hours) to their BayRobin number, so customers keep dialing the number on your sign and your invoices.
Do I have to stop using my shop software?
No. You can keep your current shop software and use BayRobin only to answer calls, text back missed calls and book appointments. Every booking is texted to you with the details. BayRobin doesn't connect to other shop software, so you add the job there yourself. If you'd rather run everything in one place, vehicles, jobs, estimates, invoices and dispatch are built in.
How does "free until your first 10 booked jobs" work?
Sign up and set up your receptionist at no charge. Each job booked by the receptionist or on your online booking page counts toward 10. After the tenth, pick a plan to keep going. Plans start at $149 a month with every feature included; see pricing.
Is there a contract, a setup fee or anything extra?
No. Plans are month to month and you can cancel from your subscription page at any time, with no cancellation fee. There's no setup fee, and every feature is on every plan (payroll is on Shop). Your plan's price won't go up while you stay on it. Card payments carry Stripe's own processing fees.
What are AI call minutes?
Time the AI receptionist spends on the phone with your callers. Each plan includes a monthly amount through credits (about 150, 400 or 1,000 AI call minutes on Starter, Pro and Shop), and you can add more credits if you have a busy month.
