Vehicles, VINs and mileage

Each customer's vehicles, decoded from the VIN, matched on every visit, with the mileage on each job.

Every job has a vehicle, and every vehicle belongs to a customer. The receptionist gets the year, make and model (and the mileage, if the caller knows it) on the phone. You can fill in the rest on the job.

On a job

Under Job details (or on New job) you'll find:

  • Year, Make and Model.
  • VIN: type all 17 characters and BayRobin decodes it with the free NHTSA lookup, filling in the year, make, model and trim for you.
  • Plate.
  • Mileage in (Mileage on a new job): the odometer reading for this visit. It's saved on the job and updates the vehicle's latest mileage.
  • The customer will wait at the shop: ticked if they're staying, unticked for a drop-off. The receptionist sets it from the call, and the confirmation text follows it.

The same car, next time

When a job comes in for a customer, BayRobin looks for the vehicle they already have: first by VIN, then by plate, then by year, make and model. If none matches, it adds a new vehicle to that customer. So a customer with two cars keeps two vehicles, each with its own visits.

Where you see them

  • On the customer's jobs page (a job › Their jobs), Vehicles lists each one with its trim, plate, VIN, latest mileage and number of visits.
  • On the customer's own page, each visit shows the vehicle and the mileage.
  • The pickup text names the vehicle: “your 2016 Honda Civic is ready to pick up.”

Getting the VIN once, at the first visit, saves retyping on every visit after that, and keeps two similar cars from being mixed up.
