Leads: your website form, a call in seconds, and follow-up texts
Put the lead form on your shop's site. Each lead gets a text, your phone rings to connect you, and follow-ups go out until they reply.
Jobs › Leads lists everyone who asked about work on their vehicle and hasn't been booked yet, under New, Contacted, Booked, Won and Lost. Each lead gets a customer record straight away, found by phone number, so nothing is typed twice.
Where leads come from
Open Leads › Lead form & settings:
- A link to your own lead form, for a "Get an estimate" button, your Google Business Profile or a text. It asks for their vehicle (year, make and model) and what's wrong.
- Website code: paste the one line under Put the form on your website into your site and the form shows there.
- A lead address for a form you already have, or for Zapier: send the form (or JSON) to it with name, phone, email, vehicle and what they need.
- Facebook lead ads: connect Facebook Lead Ads under Integrations and each new lead comes in by itself.
- Add lead for someone who called your cell or was referred.
The first minute
The moment a lead comes in, they get a text from your shop (you choose the words under Text straight away). Then, if Ring me about new leads is on, your phone rings: "New lead from Dana about grinding brakes. Press 1 to call them now." Press 1 and we call them and connect you. They see your BayRobin number.
- Their voicemail answers: we leave your voicemail message in a computer voice, then text them.
- They don't pick up: they get your "we just tried calling" text.
- You don't answer, or don't press 1: the lead goes on Jobs › Call back and you get a text.
Choose During business hours or Any time. Call now on a lead does the same for your own phone whenever you like.
Follow-up texts
If they haven't replied, follow-ups go out at the hours you set (by default 12, 24 and 36 hours after the lead came in). They stop as soon as the customer texts back, you talk to them on a lead call, they're booked, or you mark the lead lost. They only go out inside your texting window, and never to anyone who texted STOP.
Working a lead
Open a lead to see everything that happened, in order. Make it a job turns it into an unscheduled job with the customer and their vehicle filled in, ready to schedule and build the repair order. Every text, call, job, estimate and invoice for that customer is also on their page, under Timeline.
