Service reminders and declined work

Jobs › Reminders sends two kinds of text, and shows what's coming due, what's been sent, and which texts turned into a booked job.

Service due

BayRobin starts you with reminders for an oil change (every 5,000 miles or 6 months), tire rotation, cabin air filter and coolant flush. Change them, or add your own with Add a service to remind about: a name, the words that mark it done (like oil), and the miles, the months, or both.

A vehicle's last one is its latest finished job whose job type, or approved work on its repair order, has one of those words. It's due when the months have passed or its mileage has covered the miles, whichever comes first. BayRobin estimates today's mileage from the readings on the vehicle's own visits (so enter the mileage on each job), or from a typical 13,500 miles a year until it has two readings a month apart. Vehicles that have never had the service at your shop don't get a reminder.

The text says what's due and why, with your booking link: "Main Street Auto: your 2016 Honda Civic is due for oil change (the last one was 6 months ago). Book a time: … or just reply."

Declined work

When a customer says "not now" to a service on a repair order, it stays on the vehicle's record. BayRobin texts them about it 14 and 90 days later (change the days on the Reminders page), until it's done on a later visit. Several declined services from the same visit go in one text.

It's also offered back to you: the vehicle's next repair order shows Declined on earlier visits, with Add to this repair order to put it on the estimate at the same price.

When texts go out

Between 9 AM and 6 PM your time, never while the vehicle has an open job, never twice for the same thing, and never to customers who texted STOP. Turn either kind off under What gets sent. A reminder counts as Booked when the customer has a new job for that vehicle within 30 days of it.
